Discussions:
Event Planning - Scope Development
§ What makes your community special – unique opportunities
o One time Festival(s) annual
o Ongoing Event(s)
o Seasonal – regional – collaborative
o Skill based
§ Who can partner as sponsors-organizations
§ Check with your local City, County Government for regulatory requirements – don’t forget State DOH for signage
§ Clearly Define the goal for the event and publicize it
§ Prepare your Strategic Work Plan
§ Layout the Timeline and assign duties of volunteers
o Utilize the skills best suited for duties
o Require documentation and reporting
§ Hold regularly scheduled meetings so members can schedule their time – be RESPECTFUL of your volunteers
§ AGENDAS and MINUTES need to go out for every meeting
After Action – Don’t stop yet – take a breather but only 1-2 weeks
§ Make notes of pros and cons as everyone sees it for discussion at your first meeting – within 2 weeks
§ Get the books (accounting & inventory of products) done and have for discussion at the “After Action” meeting
o Determine the projects you’ll support with the profits no matter how small and put an article in the paper
§ List all the actual volunteers that participated get an ad in the paper acknowledging the volunteers by name including donors – combine with the distribution of funds
o This distribution must match your mission statement
§ Throw an “Thanks a Bunch” lunch or dinner for the volunteers
§ Get ready for the next event!!!
